Softaken OST to PST Converter: In-Depth Review, Features, Pros & Cons

OST to PST Converter

Introduction

OST files are a key component of Microsoft Outlook’s offline capability, allowing us to deal with email data even while we are disconnected from the server. What happens, though, if the link between the Outlook profile and the server goes down? That’s where conversion tools come in. These are programs that take mailbox data (such as emails, contacts, calendars, attachments, etc.) out of an OST file and turn it into a PST file that you can use.

I’m going beyond simple lists of features in this evaluation. I actually put Softaken OST to PST Converter through real-world testing, observing how it operates in various OST conditions and determining whether it meets user expectations.

This is not promotional copy. It’s a true review that includes strengths, weaknesses, performance observations, and detailed feedback.

Why OST to PST Conversion Matters

In a perfect world, Outlook OST files would always sync with an Exchange or Microsoft 365 account that is currently active. But in real life, that connection often breaks, making the OST file impossible to retrieve.

Converting an OST file to PST matters because:

  • Outlook can access PST files independently, as they are portable.
  • When your Exchange account is lost or damaged, they help you get your mailbox data back.
  • PST is a format that can be relocated, which is helpful for migrations, forensic investigation, archiving, or keeping mailboxes safe.
  • PST doesn’t need server authentication as OST does.
  • If OST stops working, conversion may be the only option to get important business information back.

Common Scenarios Where OST Files Become Inaccessible

Before we dive into the tool itself, let’s look at the common real-world situations where conversion becomes necessary.

Crash of the Server

When your Exchange server crashes without warning, and you can’t get to your backups, users typically wind up with orphaned OST files. Outlook can’t open them because the server link is broken, even though they are full of data.

Deleting an Account

Admins may deactivate Exchange accounts while restructuring or clearing up obsolete user profiles. That makes the related OST file inaccessible, even if the data is still there.

Corruption of the Exchange Profile

Outlook profiles can get corrupted if you shut down your computer incorrectly, if an upgrade goes wrong, or if you have add-ins that don’t work together. When this happens, Outlook may not open the OST and ask for it to be recreated, which makes it hard for users to get back previous mailbox items.

Moving to a New System

The process of migrating to a new Exchange server, Microsoft 365, or a different mail system is facilitated by the presence of mailbox data in PST, as PST is a universal Outlook import format.

In all of these situations, an OST to PST converter becomes a way to get back what you lost.

OST to PST Converter by Softaken: In-Depth Analysis

Overview of the Software

The Softaken OST to PST Converter is a desktop software that can read OST files, even if they are damaged or orphaned, and convert them into a PST file format that Outlook can open right away.

Give users the option to export in several formats, such as EML, MSG, MBOX, PDF, and others, depending on what they need.

Unlike programs that need a server, this one operates totally offline on your own PC.

Who Should Use This Tool?

  • It’s useful for administrators of IT who need to get mail data back after an outage or a corrupted profile.
  • Professionals are moving mailboxes from Exchange profiles that are no longer there.
  • Support teams that need to get to outdated or archived OST files.
  • Users who lost access to their Outlook profiles due to account changes.
  • Outlook can export to PST if you just want to back up your existing mailbox. This utility is used when that is not an option.

Supported Outlook & Windows Versions

During my testing, the software installed and worked with all Windows OS, including 11, 10, 8.1, 8, 7, XP, and Vista.

Works smoothly with Versions of Outlook from 2007 to 2024/365 for the desktop. Because it works with so many different versions of Outlook, it might be used in both new business settings and older archived mailbox settings.

In-Depth Testing & Review Methodology

To give you a better idea of how this works in action, here’s a summary of how I rated the tool.

The system settings used for testing

  • Windows 11 Pro (64-bit) is the operating system.
  • Intel Core i7 CPU
  • 16 GB of RAM
  • Storage: SSD (rapid read and write)

This configuration ensured that any performance limitations came from the tool rather than the hardware.

OST File Size and Type Tested

I used three different types of test OST files.

  • Small and healthy OST (~2GB).
  • A big, healthy OST (around 9GB)
  • OST that is partially corrupted and has missing headers

This helped us see how well things worked with normal files and corrupted files.

Version of Outlook Used

The last step to make sure the output was correct was to install Outlook 2019 and use it to import and check converted PST files.

Evaluation Criteria

To keep things in order, I looked at:

SpeedHow long did it take to scan and export based on the size of the file?
AccuracyIf emails, attachments, metadata, and folder structure stayed the same after conversion.
Data IntegrityDid the converted items open in Outlook with the right timestamps?
Simple to UseHow easy is it to use the interface and the workflow?
Value of PricingIs the price worth it when compared to other options?

Experience with Installation and Setup

  • How to Download and Install
  • The Softaken installer is easy to use and doesn’t come with any toolbars or complicated adware installs. Installation only took a few minutes after the download was complete.
  • There were no odd prompts or checkboxes that weren’t visible.

That’s usually a good indicator, especially for a tool that might be utilised at work.

Setting up activation and a license

After you buy it, they can send you the activation key on your provided. This was easy:

First Launch Experience

When the user first opens an application, they see a clean dashboard:

  • “Browse and Add OST” button
  • Menu choices for the format of the export
  • Preview window

The interface is minimal, but that works in its favor. There are no confusing menus or unnecessary features, making the tool easy to navigate even for non-technical users.

User Interface & Ease of Use

Layout of the Dashboard

It’s easy to get around the dashboard layout:

  • Folder list on the left panel
  • Preview area in the center: preview of the selected item
  • Export and settings choices are at the top toolbar.
  • Even when you have big OST files open, the interface feels responsive and doesn’t lag.

How to Get Around and Work

The workflow is clear and follows a straight line:

  • Open the OST file
  • Wait for the scan
  • Look at products ahead of time
  • Pick a format for export
  • Export with a choice of destination

If you’ve ever used Outlook, the layout will feel familiar.

Performance Results & Conversion Accuracy

This part of many reviews is skipped over, but I’ve found that speed and accuracy are what set good tools apart from average ones.

Scan Time & Conversion Speed

Here’s what I observed:

OST FileScan TimeConversion Time
2GB3 min5 min
9GB10 min15 min

The times given aren’t lightning fast, but they’re fine for a PC converter. The tool doesn’t freeze or increase CPU usage a lot, so it can be used with other programs without making them unstable.

Taking care of big OST files

The 9GB OST conversion went smoothly, with no crashes or memory problems. That’s a big plus because a lot of other tools have trouble handling bigger files.

But I didn’t test OSTs that were big enough for businesses (20GB or more). You might want to test a sample file with the trial version first if your environment often makes huge OSTs.

Check the quality of the output PST.

After the PST file was changed, it was opened in Outlook 2019 and checked. Here’s what survived unharmed:

  • Emails with attachments
  • Calendars with events and reminders
  • Contacts with all fields populated
  • Metadata such as timestamps, sender info, and subject line
  • HTML formatting of emails

There were no visible corruptions in the items I tested. Link integrity and nested folder structures were preserved.

Any Errors or Performance Issues Observed

In the corrupted OST file, a few items failed to preview — but that’s expected when the source file itself is compromised. During export, most recoverable data was extracted without incident.

There were no unhandled exceptions, application crashes, or freezes during any test.

Pricing, License Options & Trial Version

Available License Plans

Softaken typically offers multiple license tiers:

The available license plans vary depending on usage needs (personal, business, enterprise), though detailed pricing should be checked on the official website.

Trial Version Limitations

The trial version lets you scan and see everything, but it limits 25 items, which is a common problem with all programs.

This is actually helpful because you can know exactly what you’ll get back before you pay.

Value for Money Analysis

Is the Price justified?

If you’re:

Retrieve orphaned mailboxes

Managing a small business environment

Taking care of corruption or migration tasks

Yes, the price is reasonable for this type of service.

Pros and Cons

ProsCons
Preserves folder structureLimited advanced filter options
Supports multiple Outlook versionsTrial export restrictions
Stable with large filesNot tested for extremely large enterprise OSTs
Clean, intuitive interface
Offline conversion (no cloud upload required)

Is the Tool Safe to Use?

Antivirus software did not give any warnings during installation or while the program was running. There were no outbound connections identified, indicating that it works locally.

This is really important if you are dealing with sensitive corporate email archives.

  • Offline Processing Capabilities
  • One of the tool’s strong points:
  • Entirely offline
  • No cloud processing
  • No account registration required
  • This greatly reduces data exposure risks.

Risk of Data Loss?

As with any recovery or conversion tool, you should back up the original OST first.

In tests, conversion didn’t lose any data. However, processing files that are damaged or only partially corrupt always carries some risk of incomplete data extraction.

Before doing anything, it’s wise to make a simple backup copy.

Overall Rating (Out of 5)

⭐ 4.5 out of 5

This rating reflects:

  • Correct conversion
  • Good at handling big files
  • Simple UI
  • Performance that works well offline

The score isn’t a perfect 5 because some features and points are missing like direct import PST in Outlook.

Final Recommendation

If you want an easy, reliable way to change from OST to PST, Softaken converter does just that.

This is a good solution for recovery and migration situations. The tool works completely well for individuals, small businesses and enterprises.
